Terms and Conditions

Welcome to easyHRx (“Company”, “we”, “our”, “us”). These Terms & Conditions (“Terms”) govern your access and use of our HR management platform available at https://easyhrx.ai/
 (“Platform”, “Service”).

By accessing or using the Platform, you (“User”, “Employer”, “Employee”, “Administrator”) agree to these Terms.
If you do not agree, you must discontinue use of the Platform.

1. Definitions

“Platform” / “Service” – The easyHRx website, software, HRMS tools, dashboards, mobile applications, and related services.

“Employer” – The company or organization that creates an account to manage their employees.

“Employee” – An individual added to the employer’s account.

“User” – Any person accessing or using the Platform.

“Data” – Any information entered, uploaded, or processed through the Platform.

2. Eligibility

You may use this Platform only if:

You are at least 18 years old,

You have legal authority to act on behalf of a company (for employer accounts),

You agree to comply with these Terms and applicable laws.

3. Services Provided

easyHRx provides HR management tools including:

Employee database management

Attendance and leave management

Payroll processing and salary reports

Document storage and employee files

Performance management modules

HR analytics and reporting

Notifications and s

User dashboard and mobile access (if applicable)

We may add, modify, or discontinue features at any time with or without notice.

4. User Responsibilities

You agree to:

A. Provide Accurate Information

Ensure that all information you provide on the Platform is complete, accurate, and up to date.

B. Maintain Account Security

Keep login credentials confidential

Do not share access with unauthorized persons

Immediately notify us of any security breach

C. Use Platform Lawfully

You must NOT:

Attempt to hack, damage, or disrupt the Platform

Upload harmful files or malicious s

Misuse employee data

Use the Platform for illegal or unethical purposes

5. Employer Responsibility for Employee Data

Employers acknowledge that:

They are responsible for obtaining employee consent before uploading personal data.

They control all employee information uploaded to the Platform.

easyHRx acts only as a service provider / data processor.

Employers must ensure compliance with the Digital Personal Data Protection Act (DPDP), 2023, labour laws, and other applicable regulations.

6. Subion, Payment & Renewal

Applies if your plan is subion-based:

A. Billing

Subion fees are billed monthly, yearly, or as per agreed plan.

All fees are non-refundable unless required by law.

B. Auto-Renewal

Plans may automatically renew unless canceled before renewal date.

C. Taxes

Prices exclude applicable taxes unless stated otherwise.

D. Late Payments

We may suspend or terminate access for unpaid accounts.

7. Intellectual Property

All content, code, designs, features, trademarks, and software of easyHRx are owned by or licensed to the Company.

Users are not permitted to:

Copy, reproduce, or reverse-engineer the software

Sell, sublicense, or distribute the Platform

Remove or alter copyright or branding

Use the Platform except as described in these Terms

8. Data Protection & Privacy

Your use of the Platform is also governed by our Privacy Policy.

We commit to:

Protecting your data with industry-standard security

Processing data strictly for providing HR services

Maintaining confidentiality of employee information

Not selling or sharing data with unauthorized parties

9. Availability & Downtime

We strive for maximum uptime but do not guarantee uninterrupted access.
We may perform scheduled or emergency maintenance when necessary.

We are not liable for outages caused by:

Internet issues

Hosting provider disruptions

Third-party service failures

Events beyond our control (force majeure)

10. Third-Party Services

The Platform may integrate with third-party tools such as:

Email/SMS gateways

Payment processors

Cloud hosting providers

We are not responsible
for:

Their content

Their actions

Their privacy practices

11. Termination

We may suspend or terminate access if you:

Violate these Terms

Misuse the Platform

Fail to pay subion fees

Engage in harmful or illegal activity

Upon termination:

Your access is revoked

Your account may be deleted after a retention period

The employer may request data export before deletion

12. Limitation of Liability

To the maximum extent permitted by law, easyHRx is not liable for:

Loss of data caused by user error or third-party services

Financial or operational losses

Indirect, incidental, or consequential damages

Business disruptions

Unauthorized access due to weak passwords or compromised devices

Our maximum liability is limited to the subion fees paid in the last 3 months.

13. Indemnification

You agree to indemnify and hold harmless easyHRx from any claims, damages, or losses arising from:

Misuse of the Platform

Violation of laws or regulations

Breach of these Terms

Actions of employees or administrators under your account

14. Changes to Terms

We may update these Terms occasionally.
Updated versions will be posted on this page with a new Last Updated date.

Your continued use of the Platform implies acceptance of the updated Terms.

15. Governing Law & Jurisdiction

These Terms are governed by the laws of India.
Any disputes shall be subject to the exclusive jurisdiction of the courts of Bengaluru, Karnataka.
